Article I – Membership Fees
Section I – Current Membership Fee: The current membership fee shall be $20.00 per year. Lifetime memberships are a one-time fee of $100.
Section II – Honorary Member: an honorary member in the Alumni Association is exempt from dues. This includes Directors Emeritus.
Article II – Duties of the Board of Directors
Section I – President: The President leads the Alumni Association in their activities. The President shall preside at all meetings of the Alumni Association, shall appoint Executive Board members, Directors, Ex-Officios, and Committee Chairs. Executive Board members, Directors, and Ex-Officios shall be officially voted in at the next General Meeting. The President shall appoint replacement officers and/or directors to fill unexpired terms in case of resignation, termination, death or disability. The President serves one two (2) year term on the Executive Board after completing his/her final term as President.
Section II – Vice President: The Vice President shall assist the President in carrying out the duties and responsibilities of that office and shall assume the duties of the president in the President’s absence. The Vice President shall become the President in case of death, resignation, or disability of the President for the unexpired part of the term.
Section III – Secretary: It is the responsibility of the Secretary to maintain a record of the proceedings of all Board and general meetings of the Alumni Association. The Secretary shall keep an up-to-date copy of the Constitution, By-Laws, and all other Alumni Association records and documents as needed. The Secretary shall supply the presiding officers with agendas and minutes of all Board and general meetings.
Section IV – Treasurer: It shall be the responsibility of the Treasurer to have a working knowledge of all financial accounts of the Alumni Association.
Section V – Directors: It is the responsibility of the Directors to attend all alumni events and Board meetings. They shall serve on at least one committee.
Section VI – Ex-Officio: The responsibilities and authority of Ex-Officios is designated by the President.
Article III – Election of Executive Board and Directors
Section I – The officers of the Alumni Association shall be elected to serve a term of two (2) years as established in Article V Section IV of the Constitution and may be elected for a maximum of three (3) consecutive terms. If a current Officer is elected to a different position on the Board of Directors he/she is eligible to serve another two (2) year term, with a maximum of three (3) consecutive terms. Officers will be elected by ballot presented by the nominating committee to all current members of the Alumni Association for their vote. The ballot shall provide space for written candidates. All ballots received before the published deadline will be computed with the results being announced at the general meeting in addition to being communicated to all members.
Section II – Two representatives will be elected to serve for two years and two representatives to serve for one year at the first general election. This process will stagger representation and will insure that the Board of Directors will have continuity. Terms shall begin on the first day of July following the election.
Article IV – Standing Committees:
Committees are formed by the President and Liaison’s recommendations, on an as-needed basis. Each committee will be led by at least one Chairperson.
Article V - Awards
The Board of Directors shall present any or all of the following awards annually. These awards will be presented at a time and place decided by the Board of Directors.
Section I: Distinguished Alumni Award may be presented in the areas of: civic involvement, involvement in MCC following graduation, career or professional achievement, or education.
Section II: Excellence in Teaching Award may be presented to a faculty member as nominated by members of MCCAA.
Section III: Volunteer Service Award may be presented to a person who has given back to MCC, the Alumni Association, or their community.
Section IV: OutstandingBusiness Partner Award may be presented to a business that has supported MCC, the Alumni Association, or their community.
Section V: Exceptional College Professional Award may be presented to a staff member as nominated by members of MCCAA.
Section VI: The President may designate any other award, as necessary.
Article VI – Meetings
Section I – Conduct of Meetings: The President of the Alumni Association will present an agenda for all meetings. General meetings will include a period for open discussion from the floor. Meetings will be conducted in an orderly and fair manner. Robert’s Rules of Order will be followed.
Section II – Frequency of Meetings:
- General meetings. There will be one (1) general meeting held each year to be called at the discretion of the Board of Directors. The general meeting will be called no earlier than September 1 and no later than June 1 each year. A quorum at the general meeting shall be ten current members.
- Special Meetings. The President may, as he/she deems advisable with consent of the majority of the Board of Directors, and at the written request of ten percent of the current membership call a special meeting of the Association.
- Board of Directors Meetings. The Board of Directors will meet at least quarterly within the calendar year. The President may call additional meetings if necessary. A Board member whom misses fifty percent or more of the Board of Directors meetings in a semi-annual period shall be terminated from the Board of Directors unless termination is waived by a majority vote of the Board of Directors.
Article VII – Publications
The official publication of the Alumni Association will be the Alumni News. Publication must be made at least twice a year and no more than four times a year. Editorial decisions and publication are the responsibility of the liaisonof alumni affairs. The Board of Directors is obligated to communicate with all alumni through this publication when appropriate.
Article VIII – Vacancy of Position of Liaison of Alumni Affairs
In the event of a vacancy in the position of director of alumni affairs, the Alumni Association will be fairly represented in accordance with the College’s established procedures on a Selection and Search Committee. One member of the Board of Directors will be represented on the College’s committee.
